What this article helps you do
Add a new advisor to an Enterprise and confirm they can use their Advisor Workspace. You’ll learn the difference between creating a user, creating their workspace, assigning access, and activating a subscription.
This guide is for Enterprise accounts where the parent organization pays for its advisors. If your Enterprise uses a different billing arrangement, contact your account manager for the right setup process.
Before you begin
- Confirm the advisor’s name, company, and account email. The account email must be unique and is used to sign in, verify the account, and reset the password.
- Use the advisor’s own email as their account email. Their sending email, used for campaign sending, is configured separately.
- Check which sign-up method your Enterprise uses: registration link, SSO, or Bulk Insert Users.
- Confirm how the advisor’s subscription will be activated. Automatic subscriptions are available only when enabled for the Enterprise.
How it works
An Advisor Workspace is where an advisor’s campaigns, contacts, contact groups, profile, branding, integrations, and reporting are kept. A workspace is created automatically whenever a new user is created; you don’t create it separately.
These four pieces work together:
| Item | What it means |
|---|---|
| User | The person’s sign-in account. |
| Advisor Workspace | The advisor’s account and the place their workspace data lives. It belongs to the user it was created with. |
| Role | The access the user has. Advisors need the Advisor Workspace role to use their workspace as an advisor. |
| Subscription | The products the user can use, such as Campaigns, Convos, or Websites. |
A role change does not create a workspace, and a subscription change does not change its owner. Workspace ownership can’t be transferred or reassigned. If a different person needs to help manage an advisor, give that person the appropriate Marketing Admin access instead of sharing the advisor’s login.
Choose a setup method
| Method | Best for | What to expect |
|---|---|---|
| Enterprise registration link | An advisor signing themselves up | The advisor verifies their email. They receive the Advisor Workspace role; some Enterprises may also allow Marketing Admin registration. If automatic subscriptions are enabled, the subscription can start after verification. |
| SSO | An Enterprise that uses its identity provider | The user and Advisor Workspace are created at first sign-in. The user is marked verified and receives the Advisor Workspace role. An automatic subscription may start at first sign-in if enabled. |
| Bulk Insert Users | Onboarding several advisors | Adds the Advisor Workspace role. You can choose whether to send verification emails or mark users verified. If automatic subscriptions are enabled, they can start at verification or immediately for users marked verified. |
How to add an advisor
Use the Enterprise registration link
- Share your Enterprise’s registration link with the advisor.
- The advisor enters their email, first and last name, password, and company name. They’ll be asked for a Broker-Dealer only if the Enterprise doesn’t have a default.
- The advisor opens the verification email and clicks the link. If automatic subscriptions are enabled, the subscription can start after verification.
- The advisor completes onboarding.
Registering as a Marketing Admin is available only if Snappy Kraken has enabled it for the Enterprise. It adds both the Advisor Marketing Administrator and Advisor Workspace roles.
Use SSO
- The advisor signs in through your Enterprise’s SSO page.
- On the first sign-in, the user and Advisor Workspace are created. The Enterprise’s default Broker Dealer is applied, if configured.
- The advisor completes any requested registration details and onboarding.
No separate per-user setup is needed before the first SSO sign-in. Subscription activation depends on your Enterprise’s configuration.
Use Bulk Insert Users
Use Bulk Insert Users when you’re onboarding multiple advisors. Follow How to Bulk Add Advisors and Users
Recommendation
- Give each person their own user account. Don’t share an advisor’s login. A Marketing Admin can be linked to the advisor and, where available, work in the advisor’s workspace through impersonation.
- Plan ownership before creating the user. Workspaces aren’t easily transferable. Any new user who takes over a workspace will inherit all capabilities and customization of the account, which can cause issues. See How to Remove an Enterprise User
After setup: confirm the advisor is ready
Check that:
- The advisor can sign in with the correct account email and has verified it when required.
- The user has the Advisor Workspace role.
- The advisor has an active subscription for the products they need. Impersonate the user to see if the advisor can open the relevant product and complete any required onboarding.
- The advisor’s name, company, Broker Dealer, and business email are correct.
Subscription information may take time to refresh. Ask the advisor to sign in again. If the expected products still aren’t available after 24 hours, contact your Enterprise administrator or Support to confirm the subscription.
Troubleshooting
The advisor can sign in but can’t access anything
Check that the user has a role. Advisors need the Advisor Workspace role.
The advisor can’t see Campaigns, Convos, or Websites/The advisor can only access the Marketing Hub
Confirm that the advisor has an active subscription for that product. If the user was created in the Brain, a subscription was not added automatically. A fresh sign-in can refresh subscription access; if it still isn’t available after 24 hours, contact your Enterprise administrator or Support.
The account email is already in use
Account emails must be unique. Confirm that you have the advisor’s correct email and ask your Enterprise platform administrator or Support to help resolve an existing account before trying another address.
Someone else needs access to the advisor’s workspace
Don’t share the advisor’s login. Link the person as a Marketing Admin and use the approved access or impersonation process.
